JOB TITLE:          Employee Experience Specialist


FLSA STATUS:    Exempt

LOCATION:          Chicago Company Office


SUMMARY:         The Employee Experience Specialist (EES) provides administrative assistance with the human resources and other administrative processes. The EES develops and supports improvements with TranSmart’s employee-focused culture through human resources initiatives. In addition, the EES leads the Fun Committee in organizing Company events such as happy hours, summer picnic, and holiday parties.


  • Lead the recruitment process from editing and posting job descriptions, sourcing candidates, conducting phone screens, and setting up interviews with the hiring manager (and team, if applicable). Track status of candidates and respond with follow-up letters at the end of the recruiting process. Perform hiring screening procedures as per Company policy.

  • Facilitate the onboarding, orientation, and offboarding process for all employees. Evaluate and change these processes as needed, as processes and procedures change over time. Consider employee and manager feedback in these processes and adjust accordingly.

  • Facilitate processes for employment changes such as promotions, raises, location transfers, etc.

  • Ensure the accuracy of employee data in all systems and spreadsheets. Create and update physical and electronic personnel folders.

  • Review national, state, and local laws and maintain current policy handbooks.

  • Schedule meetings, exit interviews, and recruiting interviews as requested.

  • Perform immigration (with the assistance of the Company’s immigration attorney) and E-Verify tasks.

  • Fun Committee – plan and support happy hours, after work outings, annual party, summer picnic, and other social events.

  • Perform other duties as assigned.

  • Bachelor’s degree in Human Resources, Business, or Industrial-Organizational Psychology.

  • Master’s degree candidacy in similar areas is preferred.

  • At least 0-1 years of experience in a similar professional office environment.

  • Excellent organizational and computer skills, as well as oral and written communication skills.

  • Must thrive in a fast-paced, independent environment.

  • Knowledge of Glassdoor, LinkedIn, and other job application systems.

  • Detail oriented, professional attitude and reliable.

  • Strong organizational and time management skills.

  • Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness.

  • Demonstrated proficiency with Microsoft Office.

  • Work is performed in a standard office environment at the Chicago office.
